Security is a critical variable that differentiates hosted Exchange providers. Do not sign up with anyone until you are confident in the security of the service they provide. Here are our answers to the three questions you should ask any hosted Exchange Server provider:

  • Will my information be protected when it is traversing the Internet? Thoughtbus fully supports 128-bit encryption via HTTPS with Outlook 2010 and 2011, Entourage 2008, Outlook Web App and Hosted SharePoint. Outlook and OWA also support the use of SMIME to enable you to sign and encrypt your sensitive messages. When your emails are forwarded from your email server to the recipient's, they are protected from unauthorized attempts to view the content, either on the Internet or on the recipient's email server.

  • Are your backup tapes encrypted? Yes. Thoughtbus encrypts all backup tapes.

  • Do you have a policy regarding access to customer emails by employees and vendors? Thoughtbus has a strict policy regarding who may access the locations where customer data is stored, which includes active monitoring, enforcement, and notification.

  • Are you SAS70 Certified? Yes. Thoughtbus has completed the Statement on Auditing Standards No. 70 (SAS 70) audit, one of the highest auditing standards for service companies. This certification demonstrates Thoughtbus’ ability to deliver an IT and Internet operation within the most secure, effective and reliable operating environments.

Unparalleled Reliability

Thoughtbus adheres to a Service Level Agreement between us and our customers. Central to this agreement is a 99.99% uptime guarantee that includes rebates for customers that experience and report non-scheduled downtime with their hosted Exchange server systems.

From time to time, Thoughtbus will have to make the server system unavailable for maintenance. This will be performed overnight, generally on weekends, to minimize any inconvenience. Customers will always be notified at least 36 hours prior to scheduled maintenance.

  • Thoughtbus Architecture Overview The Thoughtbus systems architecture consists of a redundant configuration supporting thousands of simultaneous clients with high performance email and collaboration services. The hardware platform includes HP ProLiant servers, HP SANs, and Cisco switches and routers. Multiple front-end and back-end servers provide load balancing and failover, with fully-redundant generator and battery-backed power.   • Disaster Recovery Plan Thoughtbus maintains an off-site location utilizing SunGard Availability Services, with sufficient servers to perform the functions of the production servers in the event of a disaster at the primary facility. Our goal is to be up and running again within 48 hours of a disaster, and we perform practice drills to ensure we can meet this goal.

  • Backup and Restore Support We perform nightly mailbox backups, which are stored securely for 4 weeks. Upon user request, we can restore a complete mailbox as of any night in the past 4 weeks for a charge of $19.95, which gives the user access to that restored mailbox (separate from their primary mailbox) for a week. We can restore a complete SharePoint website in a similar manner for a fee of $29.95. In addition, 'end-of-month' mailbox backups are retained for 1 year, and 'end-of-year' mailbox backups are retained for 5 years -- mailbox snapshots in these 'offsite' backups can be restored for a charge of $79.95 each.
